SCHOLARLY PROGRAMS MANAGER
ABOUT THE CENTER: The National Humanities Center (NHC) is a private, nonprofit organization, and the only independent institute dedicated exclusively to advanced study in the humanities. The NHC provides essential support for the humanities, encouraging excellence in scholarship and teaching while affirming the importance of the humanities in American life. The NHC’s mission is accomplished through its residential fellowship program, educational programming and public engagement. The Center is supported by the generosity of individual donors, grants, corporate philanthropy, and institutional sponsors.
JOB SUMMARY: The Scholarly Programs Manager (SPM) oversees the operations and logistics of the NHC’s residential fellowship for leading scholars from around the world. Additionally, the SPM coordinates the summer residency, a four-week program open to scholars at sponsoring institutions. The SPM interacts with NHC Fellows from the time they accept their fellowship through the end of their fellowship term, collects and organizes data, communicates program dates and tasks, schedules programming, and assists with the Fellows’ transition to the Triangle area. The SPM also oversees the summer residency program, communicating with sponsoring institutions, arranging accommodations at a local hotel, and communicating pertinent information to the program participants. The SPM is an in-person position reporting to and working closely with the Vice President for Scholarly Programs. The SPM will successfully collaborate with departmental staff across the organization, function within standardized workflows and operating procedures while also being able to work independently. Detailed data management is key to this position.
DUTIES AND RESPONSIBILITIES:
RESIDENTIAL FELLOWSHIP
- Manage fellowship offers, provide local housing guidance, and onboard new Fellows
- Create and maintain a fellowship Google calendar and Wordpress website
- Act as the Responsible Officer for SEVIS (Student and Exchange Visitor Information System), process required documentation for international Fellows who require a visa
- Prepare reports in collaboration with the Vice President for Scholarly Programs for external grants and the exchange visitor program
- Assist with annual fellowship competition
- Create and maintain digital files for Fellows
- Handle logistics in preparation for the Fellows’ arrival (handbook, name tags, study preparation)
- Plan and schedule programming (speakers on topics of interest to Fellows) and assist with event planning
- Prepare timely communications to Fellows including a weekly newsletter
- Provide formatted data for the NHC website
- Work collaboratively with the Vice President for Scholarly Programs and departmental staff across the organization and schedule, coordinate and record minutes for Scholarly Programs meetings
- Other related duties as assigned
SUMMER RESIDENCY
- Manage interested institutions, send the Program Agreement for signature, invoice contacts and communicate with summer residency program participants
- Create and maintain a summer residency Google calendar and Wordpress website
- Facilitate the contract between the NHC and local hotel to house out-of-town participants and handle logistics in preparation for the participants’ arrival (handbook, name tags, study preparation)
- Plan and schedule programming (speakers on topics of interest to participants)
- Prepare timely communications to participants
- Update Summer Residency pages on the NHC website
MINIMUM QUALIFICATIONS:
- Bachelor’s degree
- Effective communicator and collaborator with varied levels of stakeholders
- Outstanding customer service and interpersonal skills
- Proven success in cyclical program management
- Proficiency in Google Workspace, Microsoft 365 and data management applications
- Adept at learning new systems and procedures
- Ability to meet deadlines in a timely and organized fashion while maintaining detailed data accuracy
PREFERRED QUALIFICATIONS:
- Previous experience in higher education or working with scholars
- Proficiency in Airtable
- Proficiency in Wordpress
PREFERRED QUALIFICATIONS:
- Must be able to regularly pull and push a minimum of 10 lbs.
- Must be able to regularly lift 15 lbs. and occasionally more than 25 lbs.
- Must be able to stand or sit for extended periods of time

The National Humanities Center offers a competitive salary, excellent benefits including a 403(b) contribution, and a collegial community work environment with opportunities for professional development and growth.
